Logging holiday

Updated: Oct 28, 2024

The pip app provides a convenient way to manage employee holidays. You can book holidays for a Location, Employee and Register. If adding a holiday for a Location, this will remove all Employees from the rota, e.g. during bank holidays or Christmas closure. When booking a holiday for an Employee and Register, this is specific to that person, so only they will be removed from the rota during the specified dates. The scheduler will then make the necessary adjustments to ensure the rota still meets requirements.

Booking a holiday follows the same process for each type. Navigate to the Holidays tab and select either Location, Employee or Register from the top tab bar. Once in the respective page you can tap the + icon in the bottom right corner to add in the holiday booking.

In the holiday details screen, select when the holiday will be, this must be at least four weeks in the future and can be defined for any number of days providing the entity has the available allowance. Locations do not have restrictive holiday days so you create unlimited holidays for Locations.

Next, select the person who will be taking holiday. Provide a description of the holiday for future reference and state whether the holiday will start in the AM/PM and if it’ll end in the AM/PM. For example, an employee may need an afternoon off on January 6th, so in this case, you’d select start and end dates for January 6th and set Start to PM and end to PM, this would ensure only the afternoon is taken off.

Additionally, there is a checkbox for ‘Deduct from holiday allowance’. This can be used to give Employees and Registers time off without it affecting their holiday allowance, for example, compassionate leave.

Once complete, you’ll be redirected back to the holidays screen where you can see the holiday record. This can be cancelled if required, providing it falls within the cancellation period of four weeks. The above steps apply for all entities.
